KPI (Key Performance Indicator)

A KPI is a number a business watches on purpose: a measurable figure, tracked over time against a target, that tells management whether an important goal — deliver on time, collect cash, keep stock lean — is actually being met.

What it is

Any business produces hundreds of numbers; a KPI is one of the few that has been chosen to steer by. What makes a figure a KPI is not its complexity but that it is tied to a goal, has an owner, is measured the same way every period and is compared with a target or trend. Order count is a metric; on-time delivery rate against a target is a KPI.

Good KPIs are few, defined precisely and calculated from records the company already keeps. A definition such as 'orders delivered on or before the promised date, as a share of orders due in the month' leaves no room for two departments to report different figures for the same thing.

  • Factory: on-time delivery rate, first-pass quality rate, machine downtime hours, order-to-ship lead time
  • Distributor: stock-out incidents, days of inventory on hand, receivables overdue by age, fill rate per customer
  • Sales team: leads created, conversion rate by stage, average time to first response, quotations sent versus won

Why it matters for a growing business

Once an owner can no longer see the whole operation from the floor, KPIs are how the business stays visible. They turn 'the warehouse feels slow' into a number that can be compared with last month, discussed in a meeting and assigned to someone. Without agreed KPIs, every review becomes a debate about whose spreadsheet is right.

KPIs also decide what a reporting system should show. Choosing five figures that matter — and defining them precisely — is the step most companies skip before buying dashboard software, which is why so many dashboards are full of charts nobody acts on.
