Connect the business

Cloud database migration that turns scattered records into one trustworthy data foundation

Every ERP, integration and dashboard stands on the data underneath it. When that data lives in forty spreadsheets, an ageing Access file, a server under someone's desk and three SaaS tools that do not export properly, nothing built on top can be trusted. AutoProbaho migrates business data to a properly designed cloud database — PostgreSQL, MySQL or a managed platform in the region you choose — cleaning and structuring it on the way, keeping the history, and leaving you with a foundation that applications, n8n workflows and BI tools can rely on.

The data exists. It is just in the wrong shape, in too many places

Spreadsheets were the right tool when the company was small. Over the years they became the customer master, the price list, the stock ledger and the payroll input — each with its own copy of the same customers, its own spelling of the same items, and formulas nobody dares to change. An Access database or an old on-premise server holds the rest, backed up occasionally, accessible only from one machine, and one power cut or hardware failure away from being lost.

Moving this into the cloud is not a file upload. It is deciding what the canonical customer, item and transaction records look like, deduplicating years of entries, mapping every source into that structure, preserving history for audits and reports, and doing it while the business keeps running. Done properly once, it removes the single biggest source of errors in every downstream system.

Who this is for

  • Businesses running on Excel/Google Sheets or an Access database that has become mission-critical and fragile
  • Companies with an on-premise database server that is hard to back up, access remotely or scale
  • Firms consolidating data from several SaaS tools, branches or warehouses into one reporting foundation
  • Clinics, distributors and service firms that need reliable, access-controlled records with an audit trail

Current pain points

  • Multiple copies, no master

The same customer or item appears in five files with five spellings; nobody knows which is right.

  • Single point of failure

The database lives on one PC or server; a disk failure, theft or flood takes the business history with it.

  • No remote or mobile access

Field staff and second branches wait for someone in the office to look something up.

  • Reports need manual assembly

Every dashboard starts with copying and pasting from several sources into yet another spreadsheet.

  • No audit trail

Who changed the price, deleted the row or edited the balance is unknown; auditors and buyers ask anyway.

What AutoProbaho builds

  1. Target data model

A clean relational schema for customers, items, suppliers, transactions and documents — designed from your business, not copied from spreadsheet columns.

  2. Cleansed, deduplicated data

Rules for matching duplicates, normalising names, units and codes, and resolving conflicts — reviewed with your team before anything is final.

  3. Migration pipelines

Repeatable scripts that extract from every source, transform, validate and load — run in rehearsal until reconciliation passes, then for the final cut-over.

  4. Managed cloud database

PostgreSQL or MySQL on your cloud account or a managed provider (Supabase, AWS RDS, Azure, Hetzner) with backups, monitoring and access control set up.

  5. Access layer & documentation

APIs, views and role-based access for apps, n8n and BI tools; a data dictionary and runbook so your team knows what lives where.

Modules & capabilities

  • Source assessment

Inventory of every spreadsheet, database and SaaS export; volumes, owners, quality issues and which is authoritative for what.

  • Data profiling & quality report

Duplicates, missing fields, inconsistent codes and orphan records quantified so clean-up effort is known before migration starts.

  • Schema design

Entities, relationships, keys and constraints; history tables and soft deletes so nothing is lost; multi-tenant or multi-branch where needed.

  • Cleansing & deduplication

Automated matching plus a review interface for your team to confirm merges; decisions logged.

  • ETL / migration tooling

Extract–transform–load pipelines with validation checks and reconciliation reports comparing source totals to target.

  • Cloud infrastructure setup

Region choice (EU, Asia), encryption, automated backups with point-in-time recovery, monitoring, and least-privilege database roles.

  • Access & integration layer

REST/GraphQL APIs, read-only reporting replicas, connectors for n8n and BI, and export routines for accountants and auditors.

  • Cut-over & decommissioning

Freeze plan, final delta load, parallel checks, sign-off, and controlled retirement of the old files and servers.

Interactive demonstration

Example workflows

Excel stock ledger to cloud database

  1. 1Every stock sheet from every location is inventoried
  2. 2Item codes and units are normalised into one item master
  3. 3Opening balances are reconciled against a physical count
  4. 4Historic movements are loaded with dates and references
  5. 5Store-keepers switch to a mobile app writing to the new database

Access customer database to cloud

  1. 1Access tables and queries are exported and profiled
  2. 2Duplicates are matched and merged with team review
  3. 3Schema is redesigned with proper keys and history
  4. 4Reports rebuilt as views and dashboards
  5. 5Old file archived read-only after sign-off

Multi-branch consolidation

  1. 1Each branch's data source is mapped to the common schema
  2. 2Conflicting codes are harmonised with a mapping table
  3. 3Nightly loads run in parallel with existing systems
  4. 4Cross-branch reports validated by finance
  5. 5Branches cut over one at a time

Integrations

  • Excel, Google Sheets, CSV exports
  • Microsoft Access, SQL Server, MySQL, Oracle
  • PostgreSQL, Supabase, AWS RDS, Azure Database, Hetzner
  • Custom ERP/CRM and internal applications
  • n8n workflow automation
  • BI tools (Metabase, Power BI, Looker Studio)
  • Accounting exports (Tally, QuickBooks, DATEV)
  • Cloud storage (Drive, SharePoint, S3) for documents

Implementation process

  1. 01

    Assessment

Source inventory, data profiling and a written migration plan with target schema and effort estimate.

  2. 02

    Design

Schema, cleansing rules and infrastructure design agreed with your data owners.

  3. 03

    Build & rehearse

Pipelines built and run against copies until reconciliation reports match; your team reviews merges.

  4. 04

    Cut-over

Freeze, final load, verification and sign-off — usually over a weekend or a quiet period.

  5. 05

    Stabilise & hand over

Monitoring, backups verified by test restore, documentation and training; optional managed support.

Expected business outcomes

  • One trustworthy master

Customers, items and transactions exist once, with a clear owner and history.

  • Accessible from anywhere

Branches, field staff and management work on the same data over secure connections.

  • Foundation for everything next

Apps, integrations and dashboards plug into a stable schema instead of a spreadsheet.

  • Business history protected

Encrypted, backed up, restorable — no longer one hard disk away from loss.

Security & ownership

  • Encryption and region control

Data encrypted at rest and in transit, hosted in the region you require (EU for DSGVO, Asia for local latency), in accounts you own.

  • Role-based access & audit trail

Database roles per application and user group, row-level rules where needed, and change logging on sensitive tables.

  • Backups you can restore

Automated daily backups with point-in-time recovery, retention policy agreed with you, and a documented, tested restore procedure.

Frequently asked questions

A single-source migration (for example one Access database or a set of related spreadsheets) is typically 3–6 weeks including cleansing. Multi-source consolidations run 2–3 months, cut over source by source.
