Workflow automation
Workflow automation means defining the steps a piece of work goes through — what starts it, who must check or approve it, which systems it updates, who gets told — and letting software carry it through those steps so that people only act where their judgement is needed.
What it is
Every business runs on repeated sequences: a purchase request that needs two approvals, a new order that must be confirmed, picked, invoiced and reported, a leave request that goes to a supervisor and then to HR. Today these sequences are often carried by people — a message here, a phone call there, a spreadsheet updated at the end of the day. Workflow automation writes the sequence down once and has software execute it every time.
A workflow has a trigger (a form submitted, an email received, a stock level crossed), a set of steps (validate, look up, calculate, wait for approval, create a record), and outputs (a document, a message, an entry in the ERP). Tools such as n8n let those steps be built visually and connected to the systems a company already uses, so the automation lives between the tools rather than replacing them.
Why it matters for a growing business
As volume grows, the hand-carried sequence breaks first: approvals wait in someone's chat, orders are confirmed late, reports are compiled after the fact. Automating the routine steps removes the waiting, gives every request a visible status and history, and frees experienced staff for exceptions and customers rather than follow-ups.

Frequently asked questions
They overlap. Workflow automation is about a specific sequence of tasks — an approval, an order flow. Business process automation looks at a whole end-to-end process, often across several workflows and departments, and may include redesigning the process before automating it.
Not necessarily. Many workflows can be automated across the tools you already have — Excel, email, WhatsApp, an accounting package — using n8n as the connecting layer. Where the underlying data is too scattered, the audit will say so and recommend a core system first.
Good workflows are designed with exceptions in mind: unmatched records, missing data or an unusual amount are routed to a person with the context they need, and the person's decision is recorded. The automation handles the routine; people handle the judgement.
