Custom CRM vs HubSpot or Pipedrive: which should your business choose?

HubSpot and Pipedrive are excellent products, and for many small sales teams they are the right choice. Speed and polish. A pipeline can be running the same afternoon. Email tracking, templates, sequences, meeting scheduling, mobile apps and reporting come out of the box. Both products have large marketplaces of connectors, extensive learning material and a wide pool of consultants and freelancers who know them well.

For teams whose sales motion is a standard funnel — inbound leads, qualification, proposal, close — that is a lot of value for a per-user subscription, and the vendor takes care of upgrades, security and uptime. If your process fits and your team is small, choose one of them and spend your energy on adoption rather than development.

Where a custom CRM wins

Process fit and integration depth. Custom CRMs shine when the pipeline is unusual — multi-step approvals, dealer and sub-dealer hierarchies, tenders, project-based selling with milestones — or when the CRM must be one screen away from ERP data: live stock, customer credit, price lists, open invoices. Building those links inside the system removes the copying and the middleware that packaged tools require.

Local channels and cost behaviour also matter. In markets where WhatsApp, Facebook Messenger and phone dominate, capturing those conversations natively is the difference between a CRM the team uses and one they ignore. And with no seat pricing, putting the warehouse, service and accounts staff on the system — so that everyone sees the same customer history — is a training decision rather than a budget one. You own the code and data, and can host in the region your compliance requires.
