When off-the-shelf is the right call

If your sales process looks like a standard B2B pipeline — leads, deals, stages, and forecasts — an off-the-shelf CRM like HubSpot or Pipedrive is usually the fastest, cheapest way to get organised. You get a mature product, integrations, and support out of the box.

Stick with off-the-shelf when your team is small, your process is conventional, and per-seat pricing is still comfortable.

When a custom CRM pays off

Custom CRM development wins when your workflow doesn't match the template. Restaurants, clinics, real estate, and construction often track things a generic CRM has no field for — tables, patients, properties, sites, and stages that don't fit 'deal won'.

It also pays off at scale: once per-seat fees outweigh a one-time build, a custom CRM you own can be far cheaper over three years.

A simple way to decide

Ask three questions. Does your process fit a standard pipeline? Are per-seat costs still reasonable? Do you need deep integration with tools a generic CRM can't reach? If the answer to the last two is 'no, no', start with off-the-shelf. If you're fighting the template, a custom CRM will save time and money.
